All faculty and staff can create videos, but only TeamDynamix licensed technicians with KB permissions can embed them in knowledge articles.
*Please note: In addition to written instructions and photos, you can include videos in your knowledge base articles to support users with visual walkthroughs and demonstrations. This guide outlines how to properly create, host, and embed videos in compliance with UNCW standards.
Record the Video
- You can record your video using one of the following methods:
- Panopto – Recommended for most UNCW instructional videos.
- Other recording tools – If you use another tool, such as Adobe's Captivate, the video must be hosted on the ITS Vimeo Account. Please contact the Communications team for assistance.
Video Guidelines
*Please note: Before you can embed your video it must meet all of the following requirements.
- ADA Compliance
- All UNCW videos must include closed captions.
- Auto-generated captions must be reviewed and corrected for 100% accuracy to meet accessibility standards.
- Copyright
- Videos may not include copyrighted music, images, or logos without written permission from the copyright owner. If you're unsure, please consult with the Communications team before publishing.
- UNCW Branding & Quality
- Videos should align with UNCW's branding and quality standards.
- While these standards are primarily intended for promotional videos, they are a helpful resource to review when creating any type of video, including how-to content.
- How-to videos in the myTAC portal do not need approval from the Office of University Relations (OUR). They will be reviewed by the Knowledge Managers or the Communications team when you submit your knowledge base article for review.
- The ideal length for knowledge base videos is typically two to five minutes. This duration allows viewers to watch and perform the task in the same sitting, making it easier to follow along and retain the information. Videos should focus on a single outcome, providing a clear, concise demonstration of the tasks.
Hosting
- All videos must be hosted on an official UNCW platform such as Panopto or the ITS Vimeo account (contact Communications for support).
- Relevance and Review
- Videos older than five years should be reviewed to determine if they are still accurate and effective.
- File Sharing
- We recommend sharing your final video file internally within your area. This ensures others can access and update the video if you are unavailable in the future.
Adding A Video to Your KB Article
*Please note: Please embed the video in the knowledge base article. Only use a link if the video was created by a vendor, such as Microsoft.

Copy the embed code from your video hosting platform.

Click the "YouTube" button on the toolbar.

Paste the embed code into the "Paste Embed Code Here" field.

Select "OK" add the video to your article.
TECH TIP: If you run into any issues, reach out to the Knowledge Managers. Some platforms may not embed using these instructions and we’re happy to assist.
