All faculty and staff have the ability. to purchase a Claude license.

UNCW offers Claude licenses to faculty and staff through the "Claude for UNCW" subscription. University licenses provide access via your UNCW SSO credentials and include enhanced data protections that are not enabled by default on personal licenses.

License Options

  • Standard: $240/year
  • Premium: $1,200/year

    Licenses are purchased through ITS and billed to the requesting department's fund. Costs are prorated based on UNCW's subscription anniversary date of August 14th.

    Personal Claude Licenses

    Personal Claude licenses associated with a UNCW email address are not included in the university subscription. However, an existing personal license can be migrated to a university license after purchasing a license through UNCW.

    Annual Renewal

    Before the annual renewal, ITS will notify license holders and provide an opportunity to "opt out." If the license is renewed, the appropriate department will be billed for the annual license cost.

Process for Purchasing

 

  1. Create a uShop cart using the "Software/IT-Related Solution Form."

  2. Enter "Anthropic, PBC" into the Supplier Information field.

  3. Select the "No" radio button regarding a Standing Order. The unit of measure for the order is EA (each). The Unit Price should be $0.00. If ordering more than one license, adjust the total quantity by the variance. The quantity will default to (1).
     
  4. In the "Price Estimate" field, enter a note in the description field stating whether you are purchasing a standard seat for $20/month and/or a Premium seat at $100/month, the number of licenses, and the total expected price. Include that it is being prorated through 08/14/202X. You should enter the term dates; this is reserved for renewals.
    • Example: 3 new Claude standard subscriptions at $20 per month prorated through 08/14/2027 (~$660).
    • If you are purchasing both seat types, please include the volume of each and the respective subtotal for each license type.
       
  5. A license must be purchased for each individual who intends to access Claude. In accordance with Anthropic’s Terms of Service, users are not allowed to share a single license, even if linked to a shared UNCW account, such as a departmental inbox.  
     
  6. On the requisition, in the “Address Field”, enter a “Service Only” address. 
     
  7. Code the purchase as an AI Software Subscription (926637).
     
  8. Reference the fund number and budget authority for the fund as either an attachment or a comment in the requisition.
     
  9. Assign the cart to Claudette Ferrone for processing. Once the requisition is completed, ITS will purchase the license(s) on your behalf. At that time, ITS can relay the exact prorated cost.   

    Once the requisition is approved, ITS will notify Parker Moran of the department’s primary contact and approved license(s). The department must also submit a request identifying the license recipient(s). Parker Moran will then manage user onboarding and license assignment.
     

    *Please note:  Claude licenses renew annually in August. ITS will notify users before renewal, and departments must opt out promptly to avoid renewal charges. New licenses requested outside the annual renewal period should follow the procedures above.



Process for Applying the License

 

  1. Once the license has been purchased, the user(s) will be assigned to the appropriate group to allow login and seat assignment within Claude. If a Premium seat has been purchased, the user will be upgraded after their initial login.
     
  2. If a user has an existing personal account associated with their UNCW email address, they will have the option to keep it separate or merge it with their university license.

Process for Journal Entries

 

  1. After the purchase is completed and the license is assigned, ITS will work with your budget authority to make a journal entry against the supplied fund number for the license(s).
