How (and When) do I Transfer or Surplus a Computer?

Answers

All faculty, staff and students have the ability to transfer computers with the proper permissions.

  1. When should I submit a transfer?
    • When a computer or server costing less than $5,000 is being transferred to a new location, department or division, or if its being sent to surplus.
    • What approval is required? Transfers from one division to another require approval from both divisions. Transfers from one person to another (or to another location) in the same division only requir approval from the receiving department.
       
  2. Who are the Approvers?
    • The Releasing Approver is the current custodian's Department Head or Budget Authority.
    • The Receiving Approver is the new custodian's Department Head or Budget Authority.
    • Approvers receive emails with step-by-step instructions on how to approve the transfers.
    • If you cannot find the correct Approver, please contact Patty Thompson.
       
  3. What information is needed to enter a Transfer?
    • Computer Service Tag (Dell) or Serial Number (all other computers).
    • Manufacturer (Dell, Apple, etc.).
    • FAS number, if the computer has one. If not, enter the Service Tag/Serial Number again.
    • Model of computer (ex: Optiplex 960).
    • Division, department, name, building and room number of person currently listed as custodian (“owner”) of the computer.
    • Division, department, name, building and room number of new custodian.
    • Name of Receiving Approver and, if applicable, the Releasing Approver.
       
  4. How do I submit a Transfer Request?
    • Log in to "myseaport.uncw.edu."
    • Select the "Administrative Services" tab.
    • Select "Computer Transfers."
    • Select "Submit a Computer Transfer Request."
    • Enter the equipment information in the "Transfer Equipment" section.
    • Enter the current custodian information in the "Transfer From" section.
    • Enter the new custodian information in the "Transfer To" section.
    • Submit the request.
       
  5. How can I check the status of my Transfer Request?
    • Log in to "myseaport.uncw.edu".
    • Select the "Administrative Services" tab.
    • Select "Computer Transfers."
    • Select "View Your Transfers and Approvals."
       

*Please note: It is the department's responsibility to keep track of software licensing. This information may be needed if a computer is re-imaged or a new computer is set up for the user. If this information cannot be obtained from the department, the software may not be able to be re-installed or transferred to a new machine.
